JOB VACANCY: We Own It – Office Manager (p/t)

Role summary: We Own It campaigns for public services for people not profit. We’re currently hiring for a new Office Manager.

We’re looking for an efficient, energetic, experienced person who loves to make sure systems and processes run smoothly. You’ll be leading on finance, HR and operations, looking after donors, and supporting the Director, board and team.

Job description: We Own It is a campaigning organisation which aims to shift the debate on public ownership – we
believe privatisation has failed. We campaign for public ownership of public services, from railways to
water, from council services to the NHS, and have won a number of victories for people not profit.
You’ll get to work at the heart of a dynamic campaigning organisation – there are just six of us in the
team including you. You’ll need to be happy to get stuck in, carry out a variety of basic tasks and be
flexible about your role.

Your role

We’re looking for an efficient, energetic, experienced person who loves to focus on organisation,
systems and processes. You’ll enjoy working behind the scenes to put everything in order and make
sure the team can work productively and happily.

You’ll be looking after our supporters and donors, supporting the Director and making sure our systems
and processes all run as smoothly as possible.

• Be a friendly, helpful first port of call for email and phone queries
• Look after our supporters and donors – whether they’re taking campaign actions, supporting us
financially, or both
• Manage all aspects of finance, including managing budgets, paying bills and payroll, processing
receipts, invoices and expenses
• Manage all aspects of HR, updating policies and procedures as needed
• PA support to the director, helping to manage the diary, scheduling meetings, media and events
• Support the board, send financial updates, set up meetings, take minutes
• Support the team on a day to day basis and by improving organisational systems and
processes
• Manage the office and our contracts, make sure everyone has the supplies and equipment they
need
• Manage the database and be responsible for our GDPR policy
• Support the director with fundraising
• Support campaigns with a wide range of tasks as needed
• Manage volunteers
• Provide general support and develop new ways to keep the team working well together and
create a great working environment

Person specification

Essential

• Excellent organisational skills and plenty of initiative to get things done quickly and
efficiently
• A reliable, systematic approach and attention to detail
• Friendly, warm and professional manner
• Confidence in improving office systems and processes, including databases, spreadsheets
and software
• Experience of working well as part of a team to improve the way that team functions
• Budgeting skills
• Experience in an administrative role
• Willingness to learn and interest in privatisation/public ownership – you’ll need to get up to
speed with our campaigns quickly so you can talk to supporters about them
• Excellent verbal and written communication skills
• Strong numeracy skills
• Flexibility – you’ll need to be happy juggling a wide range of tasks
• Understanding of the importance of a professional operations role in a campaigning
organisation, dedication to developing the skills and knowledge required
• Commitment to We Own It’s goals, enthusiasm about our campaigns and passion for what
we are trying to achieve

Desirable

• Experience in an Office Manager or Operations role
• Experience of bookkeeping/accounting/finance management
• Experience of supportive line management
• Experience in a membership role or organisation
• Experience of running or being involved in campaigns
• Advanced spreadsheet skills
