POST: Administrative support worker
HOURS: 12 per week
28 days holiday, pro rata (including bank/public holidays)

RESPONSIBLE TO: Manager and committee of Sunrise Multicultural Project
POST OBJECTIVE: To support, develop and promote the work of the Sunrise Multicultural Project by providing; comprehensive secretarial and administrative support, implementing marketing and publicity strategies when necessary, and other duties as and when required by the management committee.

The postholder will work as part of the Sunrise Multicultural Project team, and it will be necessary for him/her to have a flexible approach in order to accommodate an uneven workload and to ensure adequate support for the Sunrise Multicultural Project services during normal office hours. The postholder will at times be required to work under considerable pressure and a willingness and ability to act on his/her own initiative will be important.

The content of this job description will be kept under review due to the changing nature of the work of the Sunrise Multicultural Project.

The main duties of the post are;

1. Ensure the provision of effective secretarial and administrative support to the Manager and Deputy Managers and committee of Sunrise Multicultural Project

2. To research, collate, initiate and run information systems.

3. Organise and administer community classes as required.

4. The servicing of meetings, including co-ordinating any follow-up action on behalf of the Sunrise Multicultural Project (the committee meeting may sometimes be outside of office hours will be worked on a time in lieu basis).

5. The handling of incoming and outgoing Email and mail and in the absence of Senior Managers, taking responsibility for any necessary action. Responsible for handling and dealings with incoming and outgoing invoices for Sunrise Multicultural Project

6. Word-processing of correspondence, reports and other documentation and materials to a high standard, together with associated filing, photocopying and distribution.

7. Telephone liaison with Early Excellence Centres, Collages of Further Education, Family Centres, Schools, the Department for Education & Skills, the Voluntary and Private Sector, other sections of the Education Department and County Council, other public sector organisations, parents/carers and members of the general public.

8. The setting up and maintenance of records and information system (including the use of spread sheets and data bases where appropriate) and assistance with the maintenance of resources and information on project related issues, including statistical data and managing of funds/petty cash.

9. The provision of support for and, where appropriate, taking the initiative to assist the Manager and deputy Managers in the full range of their responsibilities, with special regard to whole Project Managers.

10. To assist the Sunrise Multicultural Project
in ensuring compliance with Health & Safety regulations.

11. Responsible for the keeping of diaries and arranging of bookings for premises hire, meetings and training courses for the Sunrise Multicultural Project.

12. To be responsible for the ordering of stationery and other supplies.

13. Other duties commensurate with the grade of the post as required in support of the work of manager and the Management committee.

12. Involvement in the production, editing and collation of a range of documents, including booklets, newsletters, reports, brochures, teaching aids, and other materials.
